1. The short version
Your recordings, transcripts, and uploads are yours. We don't sell them, we don't share them, and we don't train external AI models on them. You can delete anything anytime, and we mean delete.
What follows is the longer version of how that actually works.
2. Information we collect
Account information: your name, email address, and any other details you give us when you sign up or update your profile.
Source material: anything you upload (slide decks, job descriptions, speech drafts, notes) for use in a rehearsal.
Rehearsal data: the audio of your takes, the transcripts produced from that audio, the scorecards generated, and the feedback comments.
Usage data: which features you use, when you use them, basic device and browser information for diagnostics, and aggregated metrics that help us understand product health.
Payment information: handled by our payment processor (Stripe). We don't store full card details.
3. How we use your data
Source material, recordings, and transcripts are processed to provide the rehearsal service: transcribing what you said, scoring it against your source, generating Mock Q&A, and producing rewrite suggestions.
Account and usage data is used to operate the service, prevent abuse, send you essential product communications, and improve the product over time.
We do not use your recordings, transcripts, or uploads to train external or third-party AI models.
4. AI processing
Distill uses AI models to transcribe audio, score your takes, generate follow-up questions, and suggest rewrites. Some of this happens on third-party AI providers (e.g. OpenAI, Anthropic) under data-processing agreements that prohibit using your content to train their models.
If you're on an Enterprise or Pro plan, you can opt out of any optional model-quality features that involve human review.
5. Data retention
Core plan: rehearsal recordings and transcripts are retained for 30 days, then automatically deleted.
Pro plan: rehearsals are retained until you delete them. You can configure auto-delete intervals in account settings.
Account data is retained for as long as your account is active. When you delete your account, account data is removed within 30 days, except where we're required to retain it for legal, billing, or fraud-prevention reasons.
6. Sharing
We don't sell your data. We don't share it for advertising. The only times we share your data are: (a) with service providers who run infrastructure for us under strict contracts, (b) with you, when you explicitly export or share a rehearsal via the Mentor Share feature, and (c) when legally required (subpoena, court order).
7. Security
All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Access to production systems is restricted to a small set of engineers and audited.
If you spot a security issue, please email security@distill-it.com. We respond within 1 business day.
8. Your rights
You can access, correct, export, or delete your data at any time from account settings. If you'd like a manual export or have a question about your data, email privacy@distill-it.com.
If you're in the EU, UK, or another jurisdiction with data-protection laws (CCPA, GDPR, etc.), you have additional rights to object to certain processing, restrict processing, or lodge a complaint with your local authority. We honor all of these.
9. Cookies and tracking
We use a small number of essential cookies to keep you logged in and to remember your preferences. We use privacy-respecting analytics (no cross-site tracking, no advertising IDs) to understand how the product is used in aggregate.
We don't use third-party advertising trackers, retargeting pixels, or session-replay tools.
10. Children
Distill is not intended for users under 16. If you become aware that a child has created an account, contact us and we'll delete it.
11. Changes to this policy
If we make material changes to this policy, we'll notify you in-product and via email at least 30 days before the change takes effect. You can review the version history on this page.
12. Contact
Questions about your data, this policy, or how to delete an account? Email privacy@distill-it.com. A real person on the team will reply.
